Day in the Life: Jacob Grundies, SharePoint Specialist

Our colleagues at K2 Management work across a wealth of specialisms, both inside and outside of our core renewable energy work. In the latest instalment of our Day in the Life series, we meet with our SharePoint Specialist, Jacob Grundies.

Since joining K2 Management in 2022, Jacob has developed a deep range of experience around managing digital platforms, delivering automation solutions, and supporting the company’s IT ecosystem.

“Our IT department is small, consisting of just two people - my manager and me. This creates a close-knit, dynamic working relationship which I enjoy,” shares Jacob. “We’re based in the Viby office and try to be in the office most days, which allows us to collaborate easily. The diversity of tasks we handle keeps things interesting, and we often split responsibilities based on urgency and skillsets.”

Jacob starts the day by reviewing his agenda, assessing progress and planning next steps on a range of long-term projects alongside his daily responsibilities.My first actions are to review my emails, prioritise incoming requests, and check the service health of the platforms I manage, such as SharePoint and Power Platform,” shares Jacob. “These platforms are integral to our organisation, so ensuring they are functioning properly is a top priority. I also spend time checking the Microsoft Message Centre for any important updates or changes to these platforms, which might influence our roadmap and future tasks.

In the second half of his morning, Jacob likes to set aside dedicated focus time to dive into long-term project tasks. “Between 10am and 12pm, I block out distractions and dive deep into my primary tasks, which are often part of our long-term roadmap. Currently, I’m working on automating our HR onboarding process - a project that requires thoughtful planning and a keen eye for detail,” comments Jacob.

However, despite his belief that this focus time is important, he likes to keep these hours flexible in case of any urgent requests from the team. “It’s good to carve out this block of time to make significant progress on projects, but it also serves as a buffer for any last-minute requests or challenges.”

And just short of midday, Jacob takes a lunch break with his colleagues, noting that lunch in K2 Management’s Viby office is always enjoyable, thanks to our meal delivery service. “There’s always a variety of organic, vegetarian, and vegan options. What’s great is that we choose our meals a day in advance, which personalises the experience and helps reduce food waste,” comments Jacob.

After lunch, Jacob’s schedule is far more flexible and is often planned out in response to the morning’s events. With the variety of his role, his afternoons see him focus his energy on a range of duties. “I’m responsible for managing and developing our SharePoint environment, which supports critical systems like our Document Management System, Quality Management System, and HR system,” shares Jacob. “I also use the Power Platform to develop automation solutions that enhance the capabilities of SharePoint, tailoring it to meet our organisation’s unique needs. Additionally, I provide IT support across our broader ecosystem, helping to troubleshoot and resolve issues for my colleagues.”

Jacob also likes to strike a balance via the way he chooses to structure his day to help him remain productive. Jacob adds, “I try to reserve the afternoon for tasks that require less concentration, such as support tasks for my colleagues or smaller, low-priority projects.”

Later on in the day, Jacob spends some time revising his day’s agenda to assess what has been accomplished and what needs to be tackled the next day: “This routine helps me maintain momentum and ensures I don’t lose track of any important tasks,” comments Jacob. In fact, Jacob appreciates K2 Management’s culture for the way it enables him to structure his work in a way that fits his schedule, adding: “This is especially beneficial for my work-life balance. For example, I can avoid rush-hour traffic or even schedule my work around personal activities, like bouldering at the gym. Additionally, the flexible working hours and the option to work remotely mean I can adjust my work environment as needed, which is a huge plus.”

Reflecting on his role at K2 Management, Jacob praises the flat organisational structure that helps him to foster close working relationships with stakeholders and decision makers, commenting that it allows him “to gather insights from those at the top, which helps me understand the broader strategic goals of the company and align my work to support them,” adds Jacob. “It also fosters creativity and innovation, as I get to directly contribute to high-impact projects.”

Longer term, Jacob’s career goals at K2 Management see him wanting to drive value through automation and data-driven solutions, improving both existing tools and developing new ones to support the company’s diverse range of work and to enhance client success. He praises the organisation’s global culture when it comes to collaborating with teams to develop new projects, sharing: “Being part of a global consultancy also means I get to collaborate with colleagues from around the world. Through programs like K2M Connect, I’ve learned a lot about different cultures, and this exposure has helped me improve my communication and collaboration skills across diverse teams.”
